π¬ AI Assistant
The AI Assistant lets platform admins create and deploy one or more conversational AI assistants directly on their LoftOS platform. Users interact with each assistant through a floating chat widget accessible from anywhere on the platform.
Each assistant is independently configured with its own name, appearance, audience, and scope β giving you full control over who sees which assistant and where it appears.
To get started, navigate to Admin β Tools β AI Assistant.
π€ Creating an Assistant
From the AI Assistant overview, click "+ Add Assistant" to open the assistant configuration. You'll work through four tabs to set it up:
Basics
Set the core identity of your assistant:
- Name β The display name users will see in the chat widget
- Description β A short internal description to help you distinguish between assistants in the admin panel
Appearance
Customize how the floating widget looks and behaves on screen:
- Avatar β Choose from the built-in animated avatars or upload a custom image
- Colors β Match the assistant's color scheme to your platform's branding
- Position β Set where the floating widget appears on the screen by default (e.g., bottom-right, bottom-left)
Access
Define who can see and interact with the assistant:
- Restrict visibility by user role, user type, or other access rules β or select All roles to make the assistant available to everyone at once
- Choose where the assistant appears: across the whole platform, on specific modules, or on specific Views pages
- Each assistant can have a completely different audience, so you can create specialized assistants for specific user segments
Testing
Before making an assistant live, use the built-in Testing tab to simulate a conversation and verify the assistant's responses. This lets you validate behavior without exposing it to real users.
Once you're happy with the result, save and activate the assistant to make it available on your platform.
ποΈ Managing Assistants
From the AI Assistant overview you can:
- Activate / Deactivate any assistant at any time without deleting it
- Edit an existing assistant to update its configuration, appearance, or access rules
- Create multiple assistants β each with its own purpose, audience, and look
π Analytics
Open any assistant and navigate to the Analytics tab to review all conversations users have had with it. For each conversation you can:
- See the full message history between the user and the assistant
- Identify common questions and topics to improve your assistant's knowledge base
- Monitor engagement and usage over time
This gives you direct visibility into how your users are interacting with the assistant and where it can be improved.
π‘ The detailed chat view of individual conversations is disabled by default for privacy reasons. If you need it, contact your Customer Success Manager to have it enabled for your platform.
π Module Integration
Assistants can be attached to specific Custom Module views, so the right assistant appears automatically in the right context for your users. This is useful when you want a dedicated assistant scoped to a particular module β for example, a project submission assistant in a grants module or a help assistant inside an event's networking view.
Configure module attachments from the Modules & Views tab inside the assistant settings. Alternatively, each custom module has an AI Assistant toggle directly in its own module settings, so you can enable or disable the assistant for a module without leaving its configuration.
Assistants can also be embedded directly into a page using the AI Assistant template in the Pages editor β with custom chat styling to match the page design. See the Pages documentation for details.
π¬ Chat Experience
- Real-time streaming: Assistant answers appear word by word as they are generated, instead of arriving as one block after a wait.
- Source references: When an answer draws on platform content, the sources are shown as clickable link previews below the message β with a "show more" option when an answer has many sources β so users can jump straight to the underlying content.
- Mobile-friendly: The assistant opens in a full dialog on mobile devices for a smooth small-screen experience.
